There is so much technology that small businesses need to run smoothly and efficiently. There are so many to choose from, and most are reasonably priced. Below is a list of programs that we have used or are currently using to help our business and our clients businesses. Check them out and see if you could benefit from them!

Being virtual assistants we have a whole lot of passwords to keep up with…Personal and clients. There is no way to remember all of them. LastPass has saved us time and our sanity.

Once LastPass is installed it will remember the website, username, and password. With one click you can add your username and password to LastPass. Also when you go to the website LastPass will fill in the username and password with one click (easy peasy). The best feature about LastPass (okay 2 features) is you only have to remember one master password and when you have to leave your computer just click logout and no one can get into any secure programs.

Canva is our goto design tool for just about everything. From creating social media graphics to printing high quality business cards at an affordable price. Canva offers all the designs for free or you can level up.

We use Canva for Facebook post, Pinterest pins, business cards, and so much more. The easy to use interface makes it easy for beginners and experts.

We use custom headers and reminders that have our look and feel, it’s synced to our Google calendar and works seamlessly.  Our clients like it too because they can schedule time with us without all the back and forth emails.

MailChimp is great software that we use for our newsletters and much more. With an easy user interface, creating professional emails and newsletters are a breeze.

If you’re in a business where you need to track your time – check out Clockify. We can track billable and non-billable hours, different rates per client or project and keep all the details straight no matter where we are. If you have Google Chrome as your browser Clockify has an extension that makes keeping time simple and convenient. And the reporting feature is awesome if you’re wondering where you’re spending your time.

Need to store information in a searchable database and be able to retrieve it no matter where you are? Maybe not, but I do! Evernote to the rescue. We use it to store to-do lists, snippets of code for building websites, recipes, anything we need to remember and use later. We can access our information on the web, on my iPhone, iPad or on my hard drive if we’re offline.

Changing photos (.jpg) into a .pdf document is a piece of cake with PDF Solutions Converter and the best part is it’s FREE! We have clients that need photos of receipts converted to .pdf form so that the file can be attached to invoices and for tax purposes.

Zoom is a fabulous application when you need to share computer screens, whether it’s yours or someone else’s. Clients love the convenience of having me make changes to their computers and show them applications and I love that I don’t have to get in a car to do it.

Trello is one of many project management programs out there that will keep tasks organized. We can keep all projects on task, everyone knows what task they are responsible for and deadlines are hit with ease. With all the important project information and to do lists in one spot it is easy to manage and keep track of every detail.
